Microsoft Teams Live Events

Overview

A Teams live event is an extension of a typical Teams Meeting in that it allows others to view the meeting from the outside, similar to how a typical webinar is conducted. The people within a Teams Live event, the producers and presenters, can interact with each other in real-time, just like any other meeting.

The attendees watch the meeting take place with an approximate 20 to 30 second delay. For producers and presenters, you must use the Teams app which can be downloaded here.

There are three roles to make note of:

The Teams Live Attendees

Attendees are the people who watch the meeting from the outside. They cannot interact with those in the meeting except through submitting through a Q&A.

The Teams Live Producer(s)

Teams Live Producers are the members that send the event live. After the event goes live, they will pick and choose what to send live to the attendees. They can also control who is muted and unmuted, or mute everyone.

The Teams Live Presenter(s)

Teams Live Presenters are the general members of the meeting. They have the ability to control their own camera feed and audio and can share their screen.

Things to note:

Attendees join the event from a predetermined URL that is sent out. Presenters and producers are invited to join the event like a normal Teams Meeting. A producer or presenter must join from the invite they received by the organizer.
Only one person’s screen can be shared at a time. If someone is presenting their screen, another person sharing their screen will interrupt the first person.
Only one person’s webcam can be broadcasted live, but everyone can keep their webcam live. Producers will change whose webcam gets sent live based on who is talking.

Attendee View

Prior to event start, the attendees see the following:

If they would like to ask a question, they must select the Q&A icon

Then they can send the presenters and producers questions, either as themselves or anonymously:

This is where attendees can post their questions.

Presenter View

Similar to meetings, you have a toolbar to control what you are showing. The producers determine what is being sent to the live feed. You will have your camera on at all times while the producers determine who gets sent live based on the speaker.

Q&A Overview

New questions will come into this waiting area to be published.

After being published, they will be viewable by all attendees.

Questions/comments can be dismissed to hide any clutter.

Questions can be answered privately or directly, such as technical questions.

Producer View

Producers have full control over who and what gets broadcasted to the attendees. They can also assist the presenters in filtering questions and helping those with technical difficulties.

Queued content in the left pane is not send to the event until "Send live" is clicked. Content on the right is what is currently broadcasted.

There are two views the producer can send live. One option is a single pane that can contain a person’s webcam or a shared screen. The other option is to send a shared screen and a person’s webcam in a small window to the right.

One of the views allows for simultaneous shared screen with a small webcam.
